Staff/Contract Positions

SGIFF is looking for a detail-oriented Project Manager to join our Marketing and Events team on a contract basis from July to December. This hybrid role supports the production of our Festival Guide, website content, venue installations and photography logistics. If you’re a strong multitasker with experience in events or media production, we’d love to hear from you!

Job Scope:

Festival Guide & Website (End-July to Early Nov):

  • Execute timelines for festival guide, website content and film trailer delivery in consultation with the Marketing Team
  • Solicit and manage quotations for merchandise and print vendors
  • Track production progress and ensure timely deliverables
  • Organise and upload confirmed film asset database
  • Update regular website content (e.g. recruitment calls, team profiles)
  • Support Programme and Partnerships teams with final website checks before programme launch

Installations, Photography & Media Logistics (Mid-Sept to Festival End)

  • Liaise with venue partners on installation setup dimensions, permissions and logistics
  • Conduct venue recces and document installation requirements
  • Coordinate design briefs for installation collaterals and track project progress with designers
  • Solicit quotations from photographers, videographers and other print vendors
  • Screen and coordinate photography and social media volunteers
  • Draft photography, videography and volunteer schedules in consultation with Marketing, Partnerships and Programme teams

  • Supervise collateral installation and setup during festival event with Events and Logistics teams

The Hospitality Manager is a key member of the Guest Services team, responsible for delivering an exceptional hospitality experience to all invited guests of the Singapore International Film Festival. This role oversees the full spectrum of guest services, including travel, accommodations, accreditation, and personalized support. It also plays a critical leadership role in managing the hospitality budget and post-festival reporting. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced, guest-facing environment.

Job Scope:

Guest Communication & Experience

  • Draft and distribute the official festival welcome note and digital welcome package.
  • Serve as the primary point of contact for all festival guests, responding to inquiries and collecting necessary information and requirements.
  • Create and maintain a comprehensive guest list, tracking logistics such as dietary restrictions, accessibility needs, and travel details.
  • Develop and deliver individual itineraries tailored to each guest’s schedule and needs.

 

Travel & Accommodation Management

  • Liaise with travel agencies to obtain competitive flight quotations and coordinate bookings.
  • Arrange all guest travel logistics, ensuring clear communication and support throughout the journey.
  • Assign hotel rooms and coordinate with hotel partners to create and manage detailed rooming lists.
  • Act as the main liaison with hotel contacts for booking confirmations, rooming adjustments, and special requests.

 

Accreditation & Documentation

  • Oversee the guest accreditation process, including data collection, printing, and distribution of festival passes.
  • Manage VISA support for international guests, providing documentation and ensuring deadlines are met.

 

Ground Transportation Coordination

  • Work closely with the Transport Coordinator to ensure timely and seamless airport transfers and local transportation.
  • Share guest schedules and real-time updates with transport and operations teams.

 

Team Leadership & Internal Coordination

  • Supervise event management interns or temporary staff, delegating tasks and maintaining quality of guest service.
  • Lead regular team check-ins and ensure team readiness throughout the festival period.
  • Supervise and lead the Hospitality Department’s After Action Report (AAR) and post-festival debrief sessions to evaluate performance, document lessons learned, and propose improvements for future editions.

 

Budget Oversight

  • Manage the hospitality budget, including tracking expenses related to travel, accommodations, welcome materials, and guest services.
  • Provide regular budget updates and cost projections to festival leadership.

 

Skills & Qualifications:

  • Prior experience in hospitality, event coordination, or festival operations is essential.
  • Demonstrated ability to manage budgets and track financials accurately.

The Ticketing Manager oversees the full ticketing ecosystem of SGIFF, ensuring a smooth and professional experience for all ticket buyers, accredited guests, and VIPs. This role involves close collaboration with our ticketing platform, the website team, and internal departments to manage ticketing logistics, troubleshoot issues, and design policies around access and rush queue operations.

Job Scope: 

Ticketing Operations & Platform Liaison

  • Serve as the primary liaison with our ticketing platform on ticketing setup, venue/seating configurations, and allocations.
  • Monitor ticket sales and address platform-related issues promptly with technical support.

Guest & Sponsor Ticket Coordination

  • Coordinate and manage complimentary ticket allocations for sponsors, donors, and accredited guests.
  • Establish and communicate ticketing entitlements and policies to internal departments.

Queue Management & On-Site Protocols

The Finance Assistant is a key member of the administrative team, supporting the financial workflows that underpin the smooth delivery of the festival. The Front-of-House (FOH) Manager is responsible for overseeing guest-facing operations at all screening and event venues. This role ensures smooth audience flow, professional front-line service, and full operational readiness. The FOH Manager leads the front-of-house team, including volunteers, and upholds standards of safety, hospitality, and efficiency across all venues. The ideal candidate is proactive, organised, and capable of making quick, confident decisions in a live event setting.

Job Scope:

Volunteer Management

  • Screen and interview volunteer applications to select suitable candidates for front-of-house duties.
  • Develop and manage detailed volunteer duty rosters to ensure full venue coverage across the festival period.
  • Provide on-site training and orientation to volunteers to ensure consistent knowledge of FOH procedures, customer service, and emergency protocols.
  • Supervise daily performance of volunteers and provide support or redirection as needed.
  • Manage and disburse volunteer meal allowances in a timely and transparent manner.

Guest Services & Queue Management

  • Oversee audience entry and exit, manage rush queues, and monitor accreditation badge queues.
  • Ensure designated concierges are stationed to attend to accredited guests, sponsors, and VIPs.
  • Resolve on-site issues such as ticketing disputes or audience confusion with calm and professionalism.
  • Implement and enforce the festival’s late entry policy, including determining when to close doors to latecomers.

Venue Readiness & Compliance

  • Ensure all venues are front-of-house ready before each screening or event.
  • Display clear wayfinding signage and ensure visibility of film ratings.

  • Coordinate with ushers and security staff to maintain safe, controlled crowd flow.

Accessibility Readiness

Reporting & Evaluation

The Donor Relations Executive plays a crucial role in engaging and retaining the festival’s community of supporters. This position involves managing donor communications, coordinating benefits such as passes and gifts, and providing a high-touch experience that strengthens donor loyalty and involvement. The role is ideal for someone personable, articulate, and detail-oriented.

The Transport & Logistics Coordinator plays a vital role in ensuring the seamless and efficient movement of people and materials throughout SGIFF. This role is responsible for coordinating all ground transport logistics, including guest pick-ups, staff transportation, delivery of marketing materials, and VIP transfers.

The Event Management Intern will play an essential role in supporting the planning and execution of events during the Singapore International Film Festival. Interns will work closely with both the Events and Guest Services teams to help deliver smooth, well-organised screenings, panels, receptions, and guest experiences. This is an exciting opportunity for those passionate about film, arts, and live event production to gain hands-on experience in a dynamic festival environment.

Event Support

  • Assist with setup, execution, and breakdown of festival events including screenings, Q&As, panels, and receptions.

We are looking for a Design Intern to join our team and contribute to the festival’s visual storytelling for SGIFF 2025. This role offers hands-on experience in designing marketing and branding materials for a major cultural event. You will work closely with the Marketing team to develop engaging visuals that align with SGIFF’s brand identity.

Period of Engagement: July to 19 December 2025

Ideally, currently enrolled students must be able to commit at least 20 hours weekly from July to September and full-time from October onwards till the end of the Festival.

  • Excellent written and verbal communication.
  • Proficiency in Adobe Creative Suite (especially Photoshop, Illustrator, InDesign) is required. Knowledge of After Effects and Premiere Pro would be advantageous.
  • Hardworking, dedicated fast-learner, and able to work independently and yet a team player.
  • Responsible, calm, meticulous, organised and able to meet timelines.
  • Experience with project and event management—the ability to multitask and manage several jobs at once—will be an advantage.
